Faculty Workload Manager: Adding Overloads

With the new Faculty Workload Manager, department leadership can designate faculty-taught courses to be paid an overload directly in Workday. This process is specifically for issuing additional pay to full-time faculty members.


This process is NOT for:

  • Adjunct Pay: The system will automatically pay for every course taught by an adjunct.
  • Staff who also teach: They will be paid automatically, like other adjuncts.
  • 10-Month Faculty teaching during the summer: They will be paid automatically, like adjuncts.
  • Calculating Over/Under Enrollment Payouts: Those will be calculated and paid automatically.


Designate a Course to be Paid as Overload:

Note: Overloads must be configured by the Wednesday before classes begin, as this process ties into contract generation at the end of the week before a new term.


  1. Access the Designate Faculty Courses for Overload Pay report in Workday by searching for it in the search bar.
  2. Select the academic periods you wish to view. 
    • Select the main term, as well as the first and second bi-term, in order to see a complete list of courses a given instructor is teaching that period
    • Select only the main term and the first bi-term if you want to designate overages at the beginning of the semester
    • Select only the second bi-term right before the second bi-term begins to designate those overages
  3. Identify the course(s) to be paid as overload. Click the related actions button on the course you wish to adjust. From the pop-up menu, choose Faculty Load Activity > Edit Activity

  4. From the pop-up menu, enable the check box under “Override Overload” and then enter the number of units for which the faculty member is to be paid in the “Overload” box to the right. (It is possible, if the faculty member is just over their expected load, to partially pay out a given course, i.e., pay for only one unit of a three-unit course.)
  5. Choose “OK” to save your work.
  6. Continue with any other course sections that need to be designated as overload.

 

Correcting / Updating Designated Courses:

If changes occur, it is possible to return and un-select the “Override Overload” checkbox if needed. If this is done after the Wednesday before courses begin, you should also notify Academic Affairs by email, as this may require a manual override to adjust any pending pay assignments.
