Option 6 Timesheet Overview:
This is the core of the supervisor role. A candidate's mentoring time moves through three stages:
- Create the timesheet once, at the start.
- Add time to it after each mentoring session.
- Report on it at the end of the term.
Completing the Option 6 Timesheet
A candidate needs a timesheet before any time can be recorded against them. From your home page, select Create Timesheet.

Creating a Timesheet
- Enter the candidate's 9-digit student ID in Student UC ID Number. Their first and last name fill in automatically — check them before continuing.
- Choose the term this timesheet covers.
- Confirm the university supervisor assigned.
- Assign the district-based mentor who will be working with this candidate.
- Submit.

Adding Time
After each mentoring session, record the time.- From your home page, select View Timesheets, choose the term, and select View Timesheets.

Select a candidate's Student ID to open the add-time form.
- The candidates with timesheets in that term are listed.
- Enter the date of the session.
- Choose the category of activity.

Write a description of the activity.
- This needs to be specific enough that someone reading it in the future can tell what happened.
- Enter the time spent.
- Record the mentor/mentee initials confirming the session took place.

Submit.
Note: Each submission adds one entry. A session recorded twice appears twice and inflates the total, so if you are unsure whether an entry saved, check the timesheet before re-entering it.

View a Timesheet
- Open a candidate's timesheet to see everything recorded for them, entry by entry, with a running total.
- Use this to confirm a candidate is on track and that entries are correctly described before the term closes.

Running a Time Report
- From your home page, select View Time Report and choose a term.
- The report summarises recorded time across the term rather than one candidate at a time — use it to spot candidates who are behind, and to check the term's records are complete before it closes.
