Educan: Using the Portal for Students

Controls on Portal Forms:
Controls on portal forms behave identically across all forms.

Choosing Your Course
- Where a form asks for a Course, the dropdown lists only the courses the system has on record for you.

Entries read YEAR-TERM-SESSION-COURSE , for example 2024-FA-A-ED520 — year, term, session, then course number.
NOTE: If the course you need is missing, the system has no record of you in it for that term. Check with your instructor before filing the work elsewhere.

Comment Boxes

Comment fields hold up to 1,000 characters and show a live count of how many you have left.
Once you reach zero, further typing is ignored, so if the end of a comment seems to vanish, you have hit the limit.

Required Fields
- Required fields are marked with a red asterisk (*). If you submit with any of them blank, the page returns with a summary of what is missing at the top. Nothing you already typed will be lost.

Saving a Form
- Forms save only when you press the submit button at the bottom. There is no autosave and no draft — if you close the tab midway, the entry is gone.
- For long forms, set aside enough time to finish in one sitting.
- After a successful submission you will get a confirmation, and in most cases the relevant faculty member or supervisor is emailed automatically.
Review, Change, or Remove your Submissions:
Users now have the ability to review, change, and remove their submissions.

From your home page, select View Form Submissions, then the Field Experience card.

Each row has three buttons:
- View — read the entry as submitted.
- Edit — reopen it and change anything, then resubmit.
- Delete — remove it.

Information to Remember
- You only ever see and act on your own entries.

Deleting is not reversible from your side.
- The entry disappears from your list and stops counting toward your totals. If you remove one by mistake, contact the School of Education promptly; staff can still see it and may be able to restore it.
- Field Experience is the only form you can edit or delete. Everything else in View Form Submissions was written about you by someone else and is read-only.
View Form Submissions:
Every user type has a View Submissions card, which opens a grid of form types with a count beside each one.
- The counts reflect your submissions and what is submitted about you.

Select any card to see that type as a sortable, paged list.
- Sort by clicking a column heading.
- Page through results, and change the page size, using the controls at the bottom.
- View a single record with the button in the Actions column.
Common Questions:

My name or ID is wrong on the form.
- It comes from the university's student record, not from the portal, so correcting it here would not stick. Contact the registrar; the portal picks up the change automatically.

A course I am taking is not in the dropdown.
- The dropdown only shows what the system has you enrolled in for that term. Speak to your instructor before filing the hours elsewhere.

I submitted a field experience entry under the wrong course.
- Open View Form Submissions → Field Experience, find the entry, and select Edit.
- Change the course and resubmit.

Can I see an evaluation before my instructor finishes it?
- No. Records appear in your list once submitted; there is nothing in progress to see.

I get an error, or a page will not load.
- Email [email protected] with the page you were on, what you were doing, and the exact error text.
